The VP, Facilities is responsible for overseeing the strategic planning, development, and management of all projects, buildings, and internal systems related to facilities. Act as the primary liaison with Facilities’ architects, building plan designers, contractors, real estate agents, legal counsel, and vendors. Ensure the tactical goals of the Facilities Department support overall Credit Union strategy.


Essential Duties:

  • Support and partner with the SVP/Chief Administrative Officer to ensure Facilities Department operations supports the Credit Union’s strategic plan. Develop, measure, and track milestones associated with the strategic plan, as applicable.
  • Lead and direct the Facilities team day-to-day operations. Provide direction, guidance, training, and evaluations to staff, ensuring service standards and performance goals are met, and work is completed timely.
  • Act as the project manager for major Facilities projects including new builds and remodels. Lead project team, monitor construction, and oversee contractor progress to ensure correct and timely completion.
  • Utilize data to recommend building footprint changes including expanding, remodeling, closing or extending leases on current locations. Engage with real estate agent, legal counsel, and property management firms on purchase, lease, and sale agreements, as necessary.
  • Acquire, maintain, and monitor contract service agreements consistent with the business plans as approved by SVP/ Chief Administrative Officer. Perform appropriate vendor due diligence. Meet regularly with key vendors to ensure adequate service level agreements are maintained. Prepare bid invitations or request for proposals (RFP).
  • Oversee environment-friendly programs including the WELL Certification. Research and manage current and future programs.
  • Prepare budgets for Facilities’ plans and annual expenses including salary, operating, and capital expenses. Reconcile quarterly budget-to-actual reports. Complete final account reports evaluating project budget to actual final expenses.
  • Coordinate building and grounds maintenance with vendors, landscapers, air conditioning, heating, plumbing, lighting, janitorial, etc. Work closely with branch and department management to ensure quality of service and accuracy of maintenance costs. Ensure quarterly building reports are complete.
  • Oversee physical security of buildings including employee access, alarms, cameras, onsite security, etc.
  • Oversee Facilities Help Desk. Report trends regularly to SVP/Chief Administrative Officer. Monitor and evaluate the performance and condition of Facilities equipment and identify and implement opportunities for improvement.
  • Update the Emergency Response Plan and Business Disruption Work Plan, as necessary.
  • Responsible for oversight of the quarterly Safety Committee meetings. Report finding and recommendations to SVP/Chief Administrative Officer.
  • Coordinate equipment moves, as necessary.
  • Demonstrate strong regulatory knowledge applicable to this position and understand and comply with government regulations with particular emphasis on the Bank Secrecy Act (BSA), US Patriot Act and related regulations.
  • Actively participate and fulfill expectations in the Credit Union Email Security Awareness Program as outlined in the Information Security Program Acknowledgement document.

Qualifications

Knowledge and Skills:

Experience:

Five years to eight years of similar or related experience.

Education:

Equivalent to a college degree (BS or BA in a relevant field).

Position Type: Hybrid (2-3 days in office each week)
